The Accounts Payable Associate is responsible for processing the payment of invoices, student refunds, and employee reimbursements and has the training and experience to independently perform much of the skilled work required in the Accounts Payable department. The Accounts Payable Associate manages records, prepares annual 1099's, and assist with other disbursement related duties as needed. Incumbent maintains relations with University vendors, as well as providing superior customer services to all constituents within the MSMU community.
Review all check requests for appropriate authorization, original and sufficient supporting documents, accurate account distribution, and compliance with University purchasing and expense policies.
Process invoices, new vendor information, 1099 Forms, and check requests through the automated Accounts Payable, imaging, and check printing applications.
Maintain and process all recurring payment requirements according to the terms of their related contracts/agreements. These include, but are not limited to, rental agreements, leases, financing contracts.
Maintain all accounts payable computerized and manual files.
Review purchases for appropriate sales and use tax compliance and accrual.
Upload check data files to bank data processing system to support 'Positive Pay' disbursement controls.
Route external/third party invoices. Routing is done either manually or electronically to obtain the approval from Budget Managers for payment.
Perform automated systems testing as required.
Assist with the annual audit processes; including but not limited to, Sales & Use Tax audits as well as internal audits and external audits.
Supervision: Assist with supervision of Accounts Payable student workers. This includes leading by example, conducting performance reviews on an annual basis and providing mentorship on a professional level.
Set-up, review, and update vendor files to ensure no duplication, approval in place, and obtain updated W-9 if applicable.
Respond to staff/student/vendor inquiries in a timely manner.
Process student refunds (manual and electronic)
Assist, as needed, with payroll duties, including timesheet review, payroll processing (using ADP) and other payroll duties as assigned.
Other Duties as assigned.
Must possess strong critical thinking and organizational skills.
Must have a working knowledge of how to create and maintain filing systems, alpha-numeric and chronological.
Must have hands on knowledge of computerized Accounts Payable systems.
Familiarity with general ledger, accounts receivable and bookkeeping procedures is desired.
Abilities and Skills:
Must be able to professionally and effectively interact with vendors, staff, faculty, administration and students.
Must be able to efficiently process transactions in a timely manner.
Demonstrate strong analytical ability.
Must be detail-oriented and accurate.
Strong organization, prioritization, oral/written communication, attention to detail and basic mathematics skills.
Understanding of accounting principles desired.
Knowledge of Colleague environment a plus.
High School Diploma or equivalent required.
Associate Degree or Certification in Business or Accounting related field is desirable.
Bachelor's Degree in Business Administration or related field a plus.
Accounts Payable experience, some accounting or bookkeeping experience is desirable but not required.
Other relevant work experience will be considered.
