The College of Engineering is seeking a part-time Director of Shared Services and Organizational Change to help steward a new multi-department Shared Service program, housed in the Engineering Dean’s Office, through its development and launch.
Reporting to the Associate Dean of Finance & Administration, this position will lead a critical effort to implement a shared services model (SSM) in the College of Engineering (CoE) in alignment with University of Washington Finance Transformation (UWFT). This position will direct shared service development, engagement with stakeholders, project scoping, process inventory, assessment of gaps and opportunities, and change management.
The goal of the shared service is to create a successful operating model for the CoE in collaboration with the UWFT team. Long term goals include increasing the efficiency of administrative support, cost savings over time, while maintaining customer satisfaction and operational compliance.
The COE shared service model is a new collaborative effort that aims to build a sustainable academic business model, focused on developing lean business processes, online tools to support processes and create efficiency across all 10 Engineering units.
RESPONSIBILITIES: Strategic Leadership and Organizational Management: • Provide strategic leadership for the development and launch a new CoE Shared Service Environment (SSE); • Develop program goals and strategic initiatives for the SSE, including data gathering, stakeholder engagement, performance management, design, build, deployment, and change management; • Collaborate with Engineering units and other University units to ensure unit has innovative technology and ticketing system; • Develop a robust governance structure for decision-making that supports positive customer experience, resolves issues, and builds trust; • Develop a performance driven culture through monitoring, measurement, and feedback; • Create tools and metrics, including but not limited to surveys, focus groups, and interviews that aim to collect feedback an input, ensuring a collaborative process that prioritizes stakeholder engagement; • Provide operational oversight for the SSE as it is developed and launched, including recruiting and training staff; • Work with peers across campus and central units to develop a training plan and tools in support of CoE’s transition to both a shared environment and UWFT compliance requirements.
Stakeholder Engagement, Strategy, Unit Readiness, and Change Management: • Act as Unit Readiness Lead for the CoE: increase program visibility, cascade program messaging, escalate issues and risks, and support of a sustainable CoE (College of Engineering) SSE; • Participate in the Campus Operation Model Working Group; • Facilitate Community of Practice with other campus Shared Service Leaders; • Lead CoE governance committees to ensure buy-in and customer driven changes; • Work with the Department Administrators and Dean’s Office to ensure prompt communication regarding UWFT and SSE rollout, including communication strategies and messaging.
Consultant to Engineering units: • Provide expert consultation and/or coaching to unit administrators and stakeholders; • Train future administrative leaders, building efficiency, developing best practices, and continuous improvement; • Participate in strategic planning efforts; • Project Management and Facilitation; • Other related duties as needed.
REQUIREMENTS: • Bachelor’s Degree in Business Administration, Organizational Development, or related field; 6-7 years of experience in program or operations management or organizational development (or equivalent combination of education and experience). • Prior experience working with highly confidential information. • Demonstrated ability or experience in successfully moving a high visibility project from concept to implementation stage. • Demonstrated experience with high-potential development programs and organizational development assessments. • Strong and successful background in process development and improvement, strategic planning, change management. • Demonstrated fiscal management skills. • A strong blend of technical/process and program design skills, leadership, group facilitation and communication skills. • Project management and problem-solving skills, the ability to set priorities and manage multiple projects and competing deadlines. • Ability to approach complex issues and relationships with courtesy, patience, tact, and confidentiality. • Effective interpersonal skills, oral, and written communication skills. • Excellent coaching, consultation, and facilitation skills. • Demonstrated commitment to diversity and equity and ability to form productive working relationships with staff and faculty from diverse backgrounds. • Knowledge of change management theory and practice. • Proficient in Microsoft Office Suite.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
DESIRED EXPERIENCE • Master’s Degree in organizational psychology, organizational development, or business administration. • Experience with UW administrative systems and procedures • Prior participation in or leadership of shared services groups • Lean and/Project Management Certification
