Provides comprehensive administrative support to the College of Nursing (CON) Associate Dean for Academic Affairs. Serves as point of contact for units working closely with the Associate Dean's office including WSU central administration, campus administration, program directors, faculty, staff, students, and community members. Provides support for special projects which may include sensitive and confidential information. Responsible for exercising judgment and discretion and will act independently to accomplish a wide variety of duties assigned by the Associate Dean.
Administrative Support - 70%
Provide complex, confidential, administrative support to the Associate Dean for Academic Affairs.
Provides excellent customer service via phone, email, and in-person.
Provides accurate and high-quality information as directed by ADAA.
Exercises discretion in disseminating information and speaking as directed for the ADAA in personal and telephone contacts and meetings.
Assists in developing and maintaining academic policies and procedures.
Provides administrative support for meetings (coordinates, schedules, and documents meetings).
Assists with campus planning and organization of activities and meetings.
Work collaboratively with other units, partner institutions and outside agencies relative to requests for information, and appointments with and for the Associate Dean.
Provides comprehensive administrative support for accreditation requirements.
Provides administrative support to the (Spokane/Yakima) CON Search Committee.
Manages the Associate Dean's calendar, such as meetings, training, special events etc. Schedules appointments and meetings on Chair's behalf.
Maintains records and inventory, prepares narrative and/or statistical reports.
Create, compose, and edit technical and / or administrative correspondence, documents, manuscripts, schedules, agendas, and meeting minutes using advanced word processing techniques.
Proofread, edit, and format various communications and correspondence as needed.
Operations Support - 15%
Maintains confidential records of complaints, grievances, and associated resolutions.
Coordinates and monitors updates to websites regarding academic programs.
Explains programs, policies, and procedures within the scope of authority.
Manages travel to include registration, lodging, transportation, and travel authorities, justifications, and reimbursement procurement.
Assists in managing program data and completion of technical program reports as directed by ADAA.
Coordinates annual performance reviews assigned to the ADAA.
Manages documents required for assigning workload in the College of Nursing.
Assists in budget duties including preparation of documents and tracking of funds available to Associate Dean.
Coordinate purchasing including purchase requests, ordering and reimbursements. Keep records and track spending. Route purchasing records to the Budget/Finance Manager.
Manages process for maintenance of student handbooks (graduate and undergraduate).
Special Projects - 10%
Assist with administrative problem solving, project planning, maintaining deadlines, and execution of stated goals and objectives as outlined in university, college, and/or unit strategic plans.
Conduct research for special projects/assignments, compile pertinent program or fiscal information, and prepare reports and/or spreadsheets.
Assist with and/or coordinate special events and/or projects as assigned.
Other - 5%
Other duties as assigned.
One year of experience as an Administrative Assistant 1 OR a Bachelor's degree in business administration, public administration, or closely allied field and two years of responsible office experience at the senior clerical level or higher. Clerical or office work experience may be substituted for education on a year-for-year basis. Graduate study may substitute for experience on a year for year basis.
